Facility Rentals

All recurring facility rentals by outside-user groups must be reviewed by the Trusts Committee and approved by Diocesan Council. An outside-user group might be defined as any group or individual that conducts activities on church property that wouldn’t be included in the parish’s annual report to vestry about its ministry and mission.

Use only the diocesan License Agreement and standardized provincial form of Lease Agreement. Don’t change these documents in any way.

Certain low-risk items can use a simplified Canon 6 procedure for approvals. For all items, see the Canon 6 Summary Chart for detailed approval processes and insurance requirements.

Agreements must be received by the Property Resources department by 12 p.m. at least two weeks before the next scheduled monthly meeting of the Trusts Committee.

Other Agreements: Examples include Telecommunications Site Agreements, Commercial Leases etc., which require advance approval through the full Canon 6 process.

One-Time Events: We recommend you use the diocesan License Agreement for one-time events even though it’s not required. You should also draft your own written document that outlines the mutual rights and responsibilities of each party.

All one-time events must provide proof of insurance to the churchwardens before the event, consistent with diocesan requirements. You also need to tell Aon (416-868-5705) about the event. If it includes the serving of alcoholic beverages, you’ll need to adhere to the guidelines set out in the Parish Leaders’ Manual.
